Truck drivers
Per-mile, per-load and extra lines
- Miles x rate per mile
- Loads x rate per load, or a share of the load
- Detention, layover, stop pay
- Per diem, if your carrier pays it
- Deductions such as fuel advances or escrow, if they apply
Each goes on its own earnings line, so anyone can see how you got to gross pay.
Worked example: per-mile pay (example numbers only)
| Line | Example | Amount (US dollars) |
|---|---|---|
| Miles driven | 2,000 miles | - |
| Rate per mile | 0.60 per mile | - |
| Mileage pay | 2,000 x 0.60 | 1,200.00 |
| Detention pay | 2 hours x 20.00 | 40.00 |
| Gross pay | Mileage + detention | 1,240.00 |
These numbers are an example, not a typical rate. Use your own miles and rate. For a company driver, taxes come out of gross pay like any wage. Owner-operators pick the 1099 option instead.
Company driver or owner-operator?
- Company driver (W-2): taxes are withheld. Your stub looks like any employee's, plus the trucking lines.
- Owner-operator (1099): no withholding. You pay self-employment tax. Pick the 1099 option on the stub.
Nannies and household workers
When the family is an employer
If a family pays a nanny, babysitter or caregiver who works in their home, the family can be a household employer. IRS Publication 926 says Social Security and Medicare taxes apply when a family pays one household worker $3,000 or more in cash wages in 2026. The family then generally withholds and pays those taxes, and reports them on Schedule H. Source: IRS Publication 926.
What goes on a nanny stub
- The family's name as employer name
- Hours worked and hourly rate, or a weekly amount
- Social Security and Medicare, if the threshold is met
- Federal and state income tax, only if agreed
- YTD totals
For the nanny
A stub helps you show income to a landlord or lender. If the family doesn't make stubs, ask them to sign a short letter with your pay and dates. A stub that matches the letter and your deposits is strongest.
Paid in cash
Keep the record honest
Cash pay is still income, and it's taxable. If you're an employee, your employer should still withhold taxes. If you're a contractor, you owe self-employment tax on profit.
How to back up a cash stub
- Deposit the cash so your bank statement shows it.
- Ask the payer for a letter with your pay, dates and their contact details.
- Keep your own log of days, hours and amounts.
Pick "Cash" as the payment method on the stub. The amounts should match your deposits.

FAQ
Can a family give a nanny pay stubs?
Yes. A family that employs a nanny can give stubs like any employer. It also helps both sides keep track of taxes.
How do truck drivers show per diem on a stub?
As its own line, separate from mileage pay. Whether it's taxable depends on how your carrier pays it.
How do I prove income if I'm paid in cash?
Deposit the cash, get a letter from the payer, and keep a log. A stub that matches all three is easy to read.
Is cash income taxable?
Yes. Cash income is reported the same as other income.
